Private workspaces and smarter file names
Create focused spaces for selected teammates and use Workflow variables to give generated files useful names.
A closer look
What changed
Private Workspaces appear in their own navigation section and are visible only to the owner and people they invite. Owners can share or delete them, while edit access allows invited teammates to work inside them. Workflow text templates can now mix typed text with multiple variables, including when setting a file name.
Why it matters
Teams can prepare focused work away from the main navigation, share it with selected collaborators, and generate files whose names carry useful record context.
How to use it
- 1Choose the add control in Private Workspaces and select List, Calendar, or Blank canvas.
- 2Complete the guided setup. Nothing is created until the final required choice is made.
- 3Use Share to invite the teammates who should have access.
- 4In a Workflow record action, choose a file name target and combine text with variables such as a worker name or role.
Example
Create a private recruiter workspace, share it with the hiring lead, and name generated onboarding files using the worker name and role from the Workflow context.
Availability
Private Workspaces require the Private Workspace permission, which is off by default. File naming variables require Workflows access. Contact Customer Success to confirm or enable access.
Ask Customer SuccessGood to know
- Private Workspaces can be List, Calendar, or Blank canvas pages.
- A workspace shared with you shows the owner's avatar in navigation.
- The creation flow no longer leaves an empty workspace behind when setup is closed before the final choice.
Private workspaces
Keep a workspace limited to selected people, then move it into a shared team section when it is ready.
Variables in file names
Use Workflow variables when naming generated files so each document is easier to identify and organize.
Simpler workspace setup
A guided creation flow makes it clearer how to configure a workspace and choose who can access it.
