How the FTE Calculator works.

An FTE calculator converts required coverage hours into full time equivalent capacity. It then adjusts the base result for productive capacity and a reserve allowance so the staffing target reflects more than scheduled hours alone.

FTE is a capacity measure, not a headcount promise. Two part time workers can represent one FTE, and the number of people required can change with availability, qualifications, role mix, leave, and service rules.

Worked example

A service requiring 1,680 weekly coverage hours needs 42 base FTE at 40 hours each. At 85 percent productive capacity with a 12 percent reserve, the planning target rounds up to 56 FTE.

Common questions

What does one FTE mean?

One FTE represents the standard full time hours selected for the measurement period. It does not necessarily mean one person.

Can I use this result as a final payroll or staffing record?

Use the result as a planning aid. Confirm policies, workweek boundaries, pay rules, staffing requirements, and final records with the people responsible for them.

What is the difference between FTE and headcount?

FTE measures labor capacity relative to a standard workload. Headcount counts people regardless of how many hours each person contributes.

Why include reserve capacity?

Reserve creates planning room for demand variation, absence, training, vacancies, and other events that the base coverage calculation does not absorb.
