Schedulers and managers reviewing shift coverage
Assign or message a suggested match
Review a suggested worker, inspect the matching criteria, and move to an assignment or conversation with the shift in context.
Reviewed September 21, 2026
Before you start
- Open a shift that has a matching widget configured to suggest users.
- Assign requires permission to edit the Assignee field. A locked record, a locked field, or a rule that only allows updating an empty field can prevent assignment.
- Message requires a saved record, Engage access, and the Chat permission. This shortcut is available on desktop.
Steps
Open the shift
Open the shift record and locate its matching widget. Check the shift date, time, location, role, and current assignee before choosing a person.
Review the suggestion
Inspect the suggested people and the matching breakdown where available. The score reflects the configured matching rules. It is not a confirmation that the person has accepted the shift.
Reveal the row actions
Hover over a matching row or move keyboard focus to its controls. Available actions depend on the record, the target collection, and your permissions.
Assign and save
Choose Assign beside the intended person. Confirm that the Assignee field contains the correct worker, review any other unsaved edits, and select Save on the record. Reopen the record if you need to confirm that the assignment persisted.
Or discuss the shift first
On desktop, choose Message beside the person. Engage opens a direct conversation with the record attached to the draft. Review the recipient, write your message, check the attachment, and send when ready.
A conversation does not assign the shift
Message is a communication shortcut. After the worker confirms, return to the shift and complete the assignment and Save step according to your operating process.
Use the configured criteria
A matching breakdown can explain which configured checks passed or failed. Review the criteria that matter for the shift. Do not treat a percentage as a guarantee of availability, acceptance, or compliance with a rule that your account has not configured.
Example
Jordan Lee appears as a suggested match for a Riverside Care shift. Avery Chen reviews the matching breakdown and messages Jordan with the shift attached. Once Jordan confirms, Avery chooses Assign, checks the Assignee field, and saves the shift.
Check your work
- The saved Assignee is the person you intended to select.
- The shift time and location are still correct.
- Any message was reviewed and sent to the intended worker.
- Acceptance and assignment follow your team's process.
Troubleshooting
Why can I see a match but not Assign?
The shortcut applies to shifts with user matches. Check Assignee edit permission, record locking, field locking, and any restriction to updating an empty field. Ask an admin to review access if the field itself cannot be edited.
Why is Message missing?
Use desktop, save a new record first, and confirm Engage access and the Chat permission. The target must be a user match.
Why did my assignment disappear?
Choosing Assign only prefills an unsaved edit. Confirm that you selected Save and that it succeeded before leaving the record.
